3. Data Controller and Data Processor

For student and staff data entered into iMedia Hub by a school, the school or academy trust is normally the Data Controller.

Hub Learning Ltd acts as a Data Processor and processes personal data on behalf of schools in accordance with the Data Processing Agreement.

For website enquiries, licence requests and business communications submitted directly to Hub Learning Ltd, Hub Learning Ltd acts as the Data Controller.

We take reasonable technical and organisational measures to protect personal data, including:

  • HTTPS encryption
  • Role-based access controls
  • School-level data separation
  • Security monitoring and updates
  • Data is stored using reputable hosting infrastructure and protected using appropriate technical and organisational security measures.

Access to personal data is restricted to authorised users and administrators who require access for operational, support or security purposes.

5. Who Can Access Information

  • Students can access their own data and assignments.
  • Teachers and school administrators can access information relating to users within their school.
  • Hub Learning Ltd may access information where necessary for platform support, maintenance, security or legal obligations.

Personal data may be processed by carefully selected service providers who help us operate iMedia Hub, such as hosting, email and infrastructure providers. These providers process data only on our instructions and under appropriate data protection safeguards.

We do not sell personal data.

6. Data Retention

Personal data is retained for as long as required to provide the service and meet legal, operational and security requirements.

Schools may request deletion of data in accordance with the Data Processing Agreement.

Data may remain temporarily within encrypted backups until those backups expire through normal retention and rotation processes.
